Time Card

  1. If you want to use a Time Card on an employee. You first need to tell the system this is what you want to do.

    Setup -> Payroll -> Check Writing Employee Setup -> Hours/Rates Tab -> Enable Time Card Check Box

  2. If the employee has more than (1) Addition (ie: State Gross and Overtime) and you need to enter figures for both.

    1. On Sequence 1 (which defaults automatically to the first Addition enter the desired figures and then click on OK Time Card

    2. On Sequence 2 first select the second Addition by clicking on the corresponding Radio Button. (Located just above the Time Card entry fields>. Once you have done this enter the desired figures and then click on OK Time Card

    3. Click on Save and Return

    For example lets say the person has GAGROSS and Overtime setup and the person worked 40 regular hours and 10 hours of overtime:

    1. On Seq 1: GAGROSS - Enter 40 hours
    2. Click Ok Time Card
    3. Seq 2 comes up
    4. Click on the Overtime radio button located at the top of the screen.
    5. Overtime - Enter 10 hours
    6. Click Ok Time Card
    7. Seq 3 comes up
    8. Click on Save and Return

    Note: Remember that the Federal Tax will not be calculated until you press enter on the second addition field

  3. The employee is a Bi-Weekly employee and they got a raise. So (1) week is at the old rate and the (2) week is at the new rate.

    1. On Sequence 1 enter 40 hours at the old rate and then click on OK Time Card

    2. On Sequence 2 enter 40 hours at the new rate and then click on OK Time Card

    3. Click on Save and Return

    The check will print showing 80 hours as it normally does.

    Note: You can either change the rate on the Employee Check Writing Setup Screen before or after you write the payroll check. But in either case you will need to change one of the rates on a sequence.

    If you print the Rate on the stub you may want to change it first. That way the new rate will appear on the stub.

  4. On the Time Card there is a checkbox labeled Make This A Standard Time Card. If you enable this checkbox and print the check. The system will store the time card exactly as you have it. It will store the hours and rate and bring them up each time you write this employee a payroll check.

    Note: If you change the employees hourly rate or hours you will need to manually change the figures on the Time Card and enable the checkbox again if these are the numbers you want to use in the future.

    Note: Starting with Version 4.85.02 there is a checkbox on the Setup -> Payroll -> Check Writing Employee Setup -> Hours/Rate (tab) labeled Update Standard Time Card. If you change the rate on an employee having a Stardard Time Card an enable this checkbox and then click OK. The system will automatically update the Standard Time Card with the new rate for you.

  5. To delete a Stardard Timecard.(5.15.02)

    Utilities -> Employee Utilities -> Time Card Utilities -> Make Standard Time Card Employee Non Standard

    This option will only list employees that have a Stardard Timecard.

  6. The Minimum Wage Warning Message results if the hours you entered divided by the gross amount doesn't meet the minimum wage. Gross Amount / Total Hours has to as least meet the Federal minimum wage requirement.

    This usually results then the employee is getting a bonus and the timecard was entered strangely.

    Bonus 500 hours @ $1.00 = $500.00

    Note: You will only get this message if you have set the Minimum Wage. If you leave the Minimum Wage blank or zero, the system will not check.
