Consequently our system is unsurpassed in its ease of use, performance, and technical support.
We realize the importance of your decision in purchasing
an agency management system, so we encourage comparisons of all
systems.
Whatever your criteria, you'll find the IAS system from
Insurance Agency Systems, Inc. to be your best choice.
The Design of the IAS
From the onset the IAS was designed by using the latest
computer technology to mamimize its productivity to the agency.
The IAS was designed on site in a real insurance agency
where the impact of features could be immediately seen in the
change to productivity for the agency.
Originally, there was no intent for the system to become a commercial product. As other agencies learned about the system, demand developed for sales of the software. The marketing effort has continued to be word-of-mouth, which has provide steady but not spectacular growth.
The design of the IAS has concentration on needs of insurance agency combined with the latest technology rather than marketing. Our commitment to the needs of the insurance agency has created a company policy of "what is good for the insurance agency is good for the IAS". While this policy has not created the largest number of installed systems it certainly has created the best system available.
The IAS has consistantly been far ahead of many of the more
popular agency
management systems in the features offered.
For example, typeset quality laser printing
has been supported since the introduction of the orginal Hewlette Packard
LaserJet printer.
Many competitive systems have just added laser printer support
and many of those do not provide typeset quality printing.
Ease of Operation
Powerful features and functions are seldom used unless they
are easy to operate and understand.
We understand the importance of this concept and have created
an agency management system that has achieved this goal.
All functions of the system are accessed directly from any screen using simple command words that your agency's personnel will quickly learn. Help screens are available at any time, when needed, to look up the simple command words.
Help and tutorial features
should not get in the way of an experienced operator.
The IAS allows direct access to all of the system capabilities
without the need to pass through menu and options.
Instant help windows are available when requested.
A Complete Reference Manual and Systems Administration Guide is available on
screen as well as in printed form.
Speed of Operation
We understand the importance of your personnel's time and do
not make them waste it "waiting for the computer".
Your personnel will quickly find the IAS a willing and
capable tool that gives you time rather than taking it away.
The speed and ease of use makes the IAS a pleasure
to use. Providing superior service does not have to cost
your agency extra time.
Direct switching from policy to policy allows your personnel
to move quickly through the policy data base. Speed is not
affected by the number of files in the computer and
your system will not slow down with the growth of information
stored. Movement through the system is not hindered by
menus and options.
Multiple Station
Once multi-user systems became affordable for the average agency several
operating systems were evaluated specificaly for use in an insurance
agency.
The operating systems evaluated included Windows, DOS, Novell and Unix.
The clear winner was and is Unix.
This operating system was developed by AT&T and had been in use
since the 1960's, making it the most mature, complete and debugged
operating system available.
Unix provides the most horsepower per dollar of hardware expenditure
and takes maxium advantage of the gigatic leaps in affordable technology that
has occured in the last decade.
Using today's computer hardware to it's best advantage
Unix has kept the needed hardware expenditure required far below
the other muti-user operating systems. Unix also has the important
ability to run DOS and Windows® programs multi-user under the Unix
operating system.
The power of Unix has grown considerable since the 1960's yet still proves today to be the operating system of the future. Unix is the only operating system to take full advantage of current technology.
Other agency management software vendors have focused on marketing
their systems rather than today's affordable technology.
Other agency software companies have often changed hardware and operating
systems as their orginal choices proved to be inadeqate for today's
insurance agency's needs.
Yet many have remained blind to the advantages
that Unix affords an insurance agency.
Their focus on marketing rather than the agency's needs and
technology has made their past and present choices understandable.
Their profits
increase when agencies have to shell out more money to
replace the poor choices of the past.
Printing
We realize that the quality of the printed output that you
produce is very important to how your insureds, producers
and companies will view your agency.
All printed output that leaves your office will be first rate.
All correspondence will be professionally produced in an
effective manner, requiring very little time or effort by
your agency's customer service representatives and producers.
Your insureds will immediately appreciate the difference.
Your personel's work flow will not be interrupted by waiting for items to be printed at a later time.
IAS prints letters, envelopes, labels, checks, invoices, all ACORD® forms including personal, all-lines and commercial and Company Specific (non-ACORD®) forms, ID cards, file labels, etc.. with no waiting and no paper changes. Post office bar codes are automatically printed on all envelopes.
All invoices, ACORD® forms, Company Specific forms and letters are typeset on plain 8½" × 11" paper using a laser printer. All system generated ACORD® forms are certified by ACORD® and will match Company specific forms exactly and can be prefilled using the entire IAS and agency specific policy data base. Generated letterhead and invoices will match your letterhead exactly, including your logo.
All printing of invoices, letterhead, forms, checks, and reports are printed
using a laser printer with no waiting and no paper changes. No
end-of-day printing and sorting. Even while the printer is in use
additional reports can be requested, the system simply prints the report
at a later as soon as the printer is available.
Fully Integrated Accounting
Although accounting for an independent insurance agency is
complex the IAS makes the accounting easy and automatic.
The IAS supports agency retail and wholesale, personal and commercial lines, accounts current and direct bill business.
All policy transactions are entered from the same entry screen. From this simple invoice entry screen all accounting information is updated. The system will automatically print an invoice, record the amount owed by the insured, the amount due to the company, the commission owed to the producer and record the agency's profit. Producer commission may be split between producers when desired. For new business the customer service representative simply enters the policy dates, policy number, premium amount, company, producer, and whether the policy is direct bill or agency bill. The rest is automatic, including company and producer commission look up. Upon renewal the new policy dates are automatically calculated and previously entered information is recalled up so that all the customer service representative does is enter the renewal premium amount. All installments for a policy's term can be easily entered in advance. Installments are automatically billed prior to the due date.
Account current policies can be automatically billed directly to the insured or to a mortgage company. Brokered business is automatically billed to the producer less the producers commission.
Checking is breeze using the IAS. Bank balances, check printing and the check register can be accessed only by management, yet checks can be entered and scheduled for payment by the Customer Service Representative or lower level personel by simply filling out a check on screen using any desired date for payment. Check book reconcilation is fast and easy.
If desired your agency can charge finance charges. Finance charges can be selected or unselected by insured and are totally automatic including charge-offs when appropriate.
The system can automatically print cash receipts with insured's payments.
Complete month-end and year-end audit reports are produced automatically.
All information is updated immediately without a need for a separate update process at end of day, etc. All accounting reports, management reports (e.g., sales, statistics, etc.), and insured, producer and company reports are available for at any time and are always up to the minute.
Interactive on screen review of company account current and direct bill
statements allows for easy reconciliation with company statements.
Transactional History
On screen review of all policy transactions
is available for each policy.
This important feature allows the
agency to see what has occurred on each policy without the need to
pull the insured's policy file.
Complete transactional history is available by insured, producer, or
company from the policy screen.
This includes memo and letter history, policy history, forms history,
billing history, suspense, note and phone call history.
Note Section at Each Policy Screen
The IAS provides an unlimited note pad for each policy.
Notes are held indefinitely or removed at the customer service
representative's discretion.
Notes can be time stamped with an customers service
representative's initials and the date of entry.
System Supplied and Agency Designed Policy Data Base
It is important to have a
flexible policy data base that can be tailored to your agency and
easily access.
The IAS provides an unlimited policy data. In addition to the pre-defined policy data base supplied with the IAS, an unlimited amount of agency specific data can be easily defined. There is full integration between the agency specific data base and the pre-defined data base provided with the IAS. This provides for single entry of all data and instant on-screen review of all information.
All ACORD® forms are available with the system for entering policy information, storing information, and printing certified ACORD® forms and applications. Commercial and personal lines declaration sheets are also available for storing and viewing insured information.
The agency has the ability to design and create any form,
application, declaration sheet, or other type of custom material for
companies that do not accept ACORD® forms.
Integrated Letter and Memo Writing Capabilities
Letters and memos can be composed to a company, producer, or
insured with the system supplying the pertinent insured and
policy information.
All correspondence is retained by policy within the system with
easy access for later screen or printed review.
Standard letters (e.g., welcome letters, policy
cover
letters, policy lapse letters, etc.) are supplied with the system
and can be printed instantly, when desired.
Agencies may modify these standard letters or add new letters
to the library of standard letters.
Marketing and Profiling Capabilities
An agency often needs to access the policy data base to
market a group of policies based on agency supplied
criteria.
The IAS provides for unlimited profiling by all types
of insured, or policy information from the policy data base.
Prospects, existing insured, or both may be used as targets for marketing.
Letters, reports, address labels, or envelopes can be printed
automatically for all members of a profiled group.
Claims Entry, Reporting, and Management

use.
This makes the system a powerful tool for the agency and
minimizes operational concerns. On-site installation and
comprehensive schooling, trains agency personnel in the day to day
operation of the system. The written and on-line documentation

and agency operations and can answer any questions that arise beyond initial
training. Our personnel are knowledgeable of insurance agency
operations and can talk to your personnel in terms that they can
easily understand.
Forms and Letterhead
Two important features of the IAS are
the ability to keep all of your insurance forms on-line,
and the ability to reproduce your agency's letterhead on any letter or fax.
The first feature enables you to quickly access, print or fax any form from anywhere in the system. All ACORD® forms are certified by ACORD® and come standard with the IAS. In addition, we offer you the option of aquiring any of the forms we have in our library, or submitting to us other forms you use for a quote.
The second feature allows you to have your agency's letterhead on all of your office correspondence, from interoffice memos to outer office mailings, without having to change the paper in your printer to letterhead stock. Our system recreates your letterhead at the time of the printing or faxing of the letter.
The following are examples of letterheads, insurance forms, invoices, and reports which were produced by our system on plain paper using a laser printer. We have the ability to reproduce the forms and letterhead your agency uses with the same professional quality.
An index lists all of the forms we currently have in our forms
library, and the financial and management reports which are a
part of the IAS.
Faxing
Using the IAS it is as easy to fax a form or a letter as
it is to print it. If the system is already sending or receiving
a fax it will wait until the system is free to send the fax.
Busy fax numbers are no problem as the system will simply try again
later. Since the fax is computer generated the fax they will received
will be perfect, in effect it will make their fax machine into a
remote laser printer!
Reports Index
The following is a list of some of the standard reports
supplied with the IAS.
With States continuously passing legislation which limits the amount of money agencies can charge for selling many types of insurance, you can no longer afford to spend hours processing applications, typing letters, marketing prospects, and keeping your payables and receivables current. In this day and age time truly is money!
